Arkansas Records Management provides turn-key, one-stop records management and storage. We manage and store paper records, electronic storage media and other items. We provide these services for customers in Hot Springs, Little Rock, Benton, Arkadelphia, Pine Bluff and other central Arkansas locations.
In fact, if we can attach a barcode to it, we can store and manage it for you. For instance, we are currently storing a Christmas tree and other seasonal office decorations for one of our customers.
How it works Our unique records management service is database driven. Each stored item and transaction is barcoded. This information is instantly added to our database and is immediately accessible.
We furnish free service request forms for records storage and retrieval. On this form, you identify the record or item we will store for you and we enter that information into our system with a barcode identifier. You bring the items to us or we will pick them up for you.
Once your records or other items are in our system, we know what they are and where they are.
How we retrieve records and other items, for example, you have stored your 2005 third quarter accounts payable journal with us and you want the August binder. You know the August binder is in carton 345.
We retrieve carton 345 and remove the August binder. We attach a unique barcode to that binder and scan the binder code to carton 345. This creates a unique parent-child relationship between carton 345 and the August 2005 binder.
If you are not certain of the exact location of the records or items to be retrieved, we perform database queries to locate it for you.
The exchange of your records or items from us to you is coded with the date, time and recipient. When your records are returned to us, the transaction is coded.
There is a paper trail for every transaction. Your records and items are stored and retrieved with total accountability.
We use the same barcoding system for paper records, electronic storage media records and any other items you place in our care for storage and management.
We are affiliated with ARMA and PRISM, the two leading international trade organizations for records management professionals. Arkansas Records Management is an active member of the Greater Hot Springs Chamber of Commerce.
The core foundation of our service is a sophisticated barcode system. Each record or item we manage is barcoded at the carton or file level. Every record or item transaction, whether it involves a charge or not, is itemized on a unique barcoded work order which is traceable and reportable.
We create a complete data and paper trail for each record or item and each transaction. Our database is continuously backed up in with redundancy.
You can access the records you store with us on-line anywhere you have internet access with Total Recall and Scan on Demand.
